Director, Engagement & Donor Experience

Purpose of Position

The Director, Engagement & Donor Experience leads the marketing, communication, engagement functions for the Foundation and facilitates donor experience strategies in order to advance its public image and increase philanthropic support from the community. The Director, Engagement & Donor Experience works collaboratively with the communication staff of the Thunder Bay Regional Health Sciences Centre and Thunder Bay Regional Health Research Institute wherever possible.

Responsibilities

Reporting directly to the President & CEO, the Director, Engagement & Donor Experience is responsible for directing and overseeing all marketing, communications and engagement efforts undertaken by and/or on behalf of the Foundation and for facilitating donor acquisition/retention strategies across all philanthropy programs. The responsibilities of the Director, Engagement & Donor Experience include but are not limited to:

  • Supervision of the Engagement team, which includes the Manager, Digital Engagement, Manager, Lotteries, and Digital Engagement Officer.
  • Responsible for the creation (in concert with President & CEO), implementation, and evaluation of a strategic marketing, communications and engagement plan consistent with the mission and goals of the Foundation. This plan is to be as comprehensive as possible to ensure the Foundation is represented to Northwestern Ontario.
  • Responsible for working with all program managers to build/improve donor acquisition and retention in their area(s), and to create an excellent donor experience for all Foundation supporters.
  • Prepares and implements an annual department work plan.
  • Prepares and manages marketing, communications, engagement budget.
  • Oversees the management and marketing for the Thunder Bay 50/50.
  •  Works collaboratively with the communications personnel at the Health Sciences Centre and Health Research Institute. Weekly ‘huddles’ and ongoing meeting attendance as well as collaborative efforts are part of this role.
  • Develops implements and evaluates strategies that identify specific audiences, ensuring that stakeholders are appropriately addressed.
  • Develops, executes and evaluates all media relations activities, including crisis management while building relationships with local and regional media.
  • Prepares key messages, speaking notes, speeches, fact sheets, presentations and other tools to be used by Foundation Board Directors, staff and volunteers in the public arena. Provide coaching to ensure key messages are clearly communicated.
  • Works with the Development staff, prepares promotional materials that enhance and support fund development programs.
  • Plans, produces and/or directs the production of Foundation communication tools, including but not limited to letterhead, signage, receipts and business cards.
  • Collaborates with Executive Coordinator, writes, implements, maintains and reviews communications policies and procedures.
  • Provides quality control of communications tools (i.e. editing, proofreading) for Foundation staff.
  • Plans and implements advertising tactics, including design.
  • Assists with preparation of proposals for solicitation and/or education purposes.
  • Coordinates content, writes and distributes Foundation updates – for example Annual Report submissions to TBRHSC.
  • Oversees website content and measurement, ensuring up-to-date information is available and evaluating website traffic and content data.
  • Supervises implementation and evaluation of social media strategies through the Engagement team.
  • Supervises implementation and assists with copy for email communications through the Engagement team.
  • Develops, implements and manages long and short-term marketing strategies to support fundraising strategies and programs in co-operation with the President & CEO to meet the financial goals as established by the Board of Directors of the Foundation.
  • Coordinates content and publication of Chronicle Journal feature pages. Collaborates with stakeholders to maximize impact of this opportunity.
  • Obtain visual and audio content (i.e. photos, video, and sound) for publication and production (i.e. radio and tv spots).
  • Oversee the execution and adherence to the Foundation’s Brand Book.

Ideal Knowledge, Skills & Abilities

  • Knowledge of current marketing, customer service, advertising, data analysis, and communications trends and techniques to support fund development principles, practices and techniques to maximize Foundation brand presence and positive perception.
  • Understands and has the ability to use strategic marketing, customer service, communication and engagement concepts, principles and methodologies, including best practices for communication policy and procedure development.
  • The ability to provide effective advice and counsel on strategic communications issues and exercise effective judgment is essential.
  • Exceptional communicator – both written and oral. This position also demands knowledge of and sensitivity to a variety of populations and situations including patients and their families, donors and recognition programs. Superior interpersonal skills are imperative.
  • Networking within the community is key to developing the relationship network of the Foundation. The Director, Engagement & Donor Experience will be involved in many

    segments of the community to ensure the Foundation is represented and relationships are built appropriately.
  • Handle multiple projects with competing timelines.
  • Maintains a customer service focus in all interactions with Foundation constituencies including, but not limited to, donors, volunteers, board members, patients and Health Sciences Centre staff.
  • The ability to work comfortably in Microsoft Office. Electronic mail and operation of office equipment (i.e. copiers, computers, and printers) are also required. The ability to use Raiser’s Edge is an asset.
  • A G-class driver’s license and access to a reliable vehicle is required.
  • Flexibility in work hours and locations is essential to the success of this position.

Qualifications

  • Director, Engagement & Donor Experience will have completed post-secondary education, preferably in one of the following areas
    • Marketing, Communications, , Public Relations, Business
  • Seven (7) to ten (10) years’ experience in related field

Other Information:

  • Salary: $80,900 to $94,035
  • Work hours: 9AM – 5PM, Monday through Friday. Some after-hours required.

Donor Relations Specialist

Scope

The Donor Relations Specialist is under the direct supervision of the Manager, Finance and Administration.

Responsibilities

The responsibilities of the Donor Relations Specialist include, but are not limited to the following:

  • Provide friendly service to any inquiries via phone or in person.
  • Direct inquiries to the most appropriate Foundation staff if not able to answer question directly.
  • In the event concerns are outside the Foundation’s operations, attempt to direct individual appropriately (i.e. provide Health Sciences Centre main line, direct walk-in traffic to Information Desk).
  • Process all donations using prescribed software, ensuring accuracy and within established timelines.
  • Maintain ongoing pledges, create, implement and maintain a schedule for reminder letters and/or thank you letters.
  • Prepare all receipts and/or thank you letters for signing by President & CEO and/or designate.
  • Maintain donor recognition including updating symbols on various boards.
  • Maintain electronic banking tools such as electronic funds transfer (EFT).
  • Process, sort and distribute all incoming mail. Track outgoing mail.
  • Process specific special events (i.e. registration, sponsorship, pledges) using prescribed software.
  • Maintain an accurate, up-to-date database, seeking to eliminate duplicates and/or errors while providing as much pertinent information as possible.
  • Generate reports at the direction of the Manager, Finance & Administration. These may include but are not limited to: changes in donor recognition, and lists for Foundation mail outs.
  • Prepare lists as directed by the Manager, Finance & Administration (i.e. patient solicitation).
  • Maintain inventory of office supplies, including ordering replacement supplies where necessary.
  • Enter weekly timesheets into appropriate software.
  • Responsible for petty cash control including balancing and replenishing (by completing a cheque request) as required.
  • Operate a number of pieces of office machinery including but not limited to laptop and desktop computers, fax, copier, scanner, voice mail, and printers.
  • Provide administrative support to Board Committees as directed by the Manager, Finance & Administration.
  • Provide administrative support to Foundation staff as directed by the Manager, Finance & Administration.
  • Provide orientation, supervision and support to office volunteers.
  • Coordinate room and catering requirements for meetings and Foundation functions as requested.

Knowledge, Skills & Abilities

  • Donor Relations Specialists must have a comprehensive knowledge of the Foundation’s software, including but not limited to Microsoft Office, and electronic mail. General knowledge of bookkeeping is an asset.  The ability to use Raiser’s Edge is an asset.
  • Able to handle multiple projects with competing timelines.
  • Ability to provide friendly service to any individual contacting the Foundation including, but not limited to donors, volunteers, board directors, patients and Health Sciences Centre staff.
  • Ability to multi-task, have superior time management skills, above average listening skills and patience.
  • Ability to provide appropriate stewardship to various constituencies including but not limited to donors, volunteers and community members.

Qualifications

The Donor Relations Specialist will have completed some form of post secondary education, preferably in one of the following areas:

  • Office Administration
  • Art/Humanities
  • Accounting/Bookkeeping

And/or have at least three (3) years experience in a fast-paced administrative environment. 

Other Information:

  • Salary range: $41,791- 49,092
  • Work hours: 9am-5pm, Monday through Friday. Some after-hours required
  • 12 month contract (covering maternity leave)
